We are delighted to be recruiting for an experienced Front of House / Patient Coordinator to join a prestigious, doctor-led aesthetic and dermatology clinic based in Harley Street.

This is an exciting opportunity for a polished, warm and highly organised individual who is passionate about delivering an exceptional patient experience and enjoys working in a premium clinical environment.

Previous experience working within an aesthetic clinic is essential for this role.

About the Clinic

The clinic is led by two doctors specialising in Dermatology and Aesthetics, supported by a small and friendly team consisting of a Receptionist / Office Manager and a Nurse.

The clinic is busy and patient-focused, with each doctor seeing approximately 20 patients per day. The successful candidate will therefore need to be highly organised, confident managing busy diaries and comfortable working in a fast-paced environment, while maintaining a calm, warm and professional approach with every patient.

The Role

As the first point of contact for patients, you will play a key role in creating a warm, professional and discreet experience from the moment a patient contacts the clinic. You will work closely with both doctors and the wider team to ensure the smooth running of the clinic and provide outstanding support throughout the patient journey.

Key Responsibilities

• Welcoming patients and providing a warm, professional and discreet front-of-house experience.

• Acting as the main point of contact for patients and clients, building strong and trusted relationships.

• Managing busy diaries and coordinating consultations, appointments, meetings and follow-ups.

• Handling telephone calls, emails and general enquiries promptly and professionally.

• Managing the doctors' personal and professional calendars and ensuring all appointments and commitments are coordinated efficiently.

• Providing timely reminders regarding upcoming appointments, meetings and events.

• Supporting the smooth day-to-day running of the clinic.

• Ensuring patients receive an exceptional level of service throughout their journey.

• Managing correspondence and ensuring enquiries are responded to efficiently.

• Preparing correspondence, reports and presentations when required.

• Maintaining a high level of organisation, accuracy and attention to detail at all times.

About You

The ideal candidate will have:

• Previous experience working within an aesthetic clinic — essential.

• Excellent knowledge and understanding of the patient journey within an aesthetic environment.

• Experience working in a busy clinic with a high volume of patients.

• A warm, polished and naturally personable approach.

• Excellent communication and interpersonal skills.

• Strong organisational skills and the ability to manage multiple priorities.

• A professional, discreet and confident manner when dealing with patients.

• Experience managing busy diaries, appointments and client enquiries.

• A genuine passion for providing exceptional patient care and service.

• Excellent attention to detail and a proactive approach.

Working Hours & Salary

Hours: 9:30am – 6:30pm, Monday to Saturday on a 5-day working week, with 4 weekdays plus every Saturday.

There is a 1-hour unpaid lunch break, giving 8 working hours per day.

Salary:

• £16 per hour during the probationary period

• Approximately £33,000 per annum

• Following successful completion of probation, the rate increases to £18 per hour

• Approximately £37,000 per annum
